How we collect your data
- All bills, exports, and documentation are collected through a private, encrypted upload link — never as an unprotected email attachment.
- We only ever ask for what the audit actually requires: itemized billing detail, line counts, and contract terms.
We will never ask you for: full payment card numbers, bank account or routing numbers, Social Security numbers, or employee personal data unrelated to the audit. If any of that appears in a document you send us, we redact or delete it immediately.
How we store and protect it
- Client files are stored in encrypted, business-grade cloud storage with two-factor authentication — not personal or consumer-grade accounts.
- All devices used for this work are fully encrypted.
- We never share your data with a third party without your written consent.
Retention
- Your raw billing and network data is retained only as long as needed for the active engagement, plus a 90-day follow-up window, then securely deleted.
- We keep the signed engagement agreement and final report on file for our business records.
Confidentiality
Every engagement agreement includes a mutual confidentiality clause. Cohesive Collaborations also carries professional liability insurance appropriate to handling client financial data.
